As the Public Relations Officer (PRO), you will be responsible for administrative activities including paperwork preparation for Field Service Engineers in Abu Dhabi- UAE, general documents and activities for the branch (including HSE).
Please note that this role is for future pipeline purposes.
As a Public Relations Officer, you will be responsible for:
· Connecting to different Customer portals and systems to retrieve requisitions and orders, uploading proposals and other documents, managing Field Service Engineers documentation to access Customer plants
· Managing risk assessment as per customer requirements, prevention plans, fit to work certificates, HSE Training for Field Services Activities in UAE, supervising and coordinating documents and permits for subcontractors
· Issuing and tracking visas for FSEs (both locally based in UAE and expats coming to UAE)
· Supporting FSEs and contractors (both locally based in UAE and expats coming to UAE) to book and manage their BOSIET and EHS trainings
· Issuing and tracking gate passes and/ or CNIA passes (security passes) for FSEs (both locally based in UAE and expats coming to UAE)
· Issuing and tracking OPTIMA (offshore pass) for FSEs (both locally based in UAE and expats coming to UAE)
· Supporting FSEs and contractors to book and manage their medical examinations (both locally based in UAE and expats coming to UAE)
· Issuing Trade License and commercial registration renewals for our Nouvo Pignone entity
· Coordinating with the local Field Service team in UAE ensuring validity and Issuing Quotas, LOAs and licenses for Work / Mission Visa submissions
· Collecting exit stamps and canceling mission visas and CNIA passes as soon as expat FSEs leave UAE
· Close collaboration with BH/ NP approved service and immigration suppliers
· Close collaboration with HR and payroll to ensure that all employees salaries are paid through WPS (Wage Protection System)
· Comply with BH guidelines and the latest government updates
· Cost Control and timely submission of cash expenses
· Managing and tracking Petty cash (Full compliance with Petty cash policy, timely submission and sharing the bills)
· Assisting Labor Authorities in case of official inspection
· Managing registration of new suppliers, invoices to payment process and qualification of new customers, as applicable
To be successful in this role, you will:
· Have relevant experience in UAE as a Public Relations Officer (PRO)
· Be able to demonstrate good experience in administrative/support roles
· Have updated knowledge in government/ immigration rules and processes
· Show local HSE rules (risk management , training, etc.) and Field Services processes knowledge
· Be a problem- solver
· Be able to work on tasks by priority and ensure On- time delivery
· Show excellent energy and availability to support
· Pro-actively communicate and send updates to the team as needed
· Show main IT and e- tools proficiency
· Be able to identify and implement improvements to increase efficiency and customer satisfaction
· Show excellent interpersonal skills
· Show excellent organizational and cross-functional project management skills in a global-matrix environment
· Have excellent oral and written communication skills in Arabic & English
· Have work authorization in UAE.
